The following areas of policy and procedure should be considered before delivering your first online assessment:Data privacy and information security
invigilatorPlus collects and stores information pertaining to your staff and students. Who accesses that information and for how long it is kept will be governed by your policies. There are several areas that you will need to set privacy and information security policies for: data retention periods, who can access data and data access privileges, and time periods for specific staff roles.

Data access
Any staff member with a staff account in invigilatorPlus can access data. What each staff member can access and how long they have access to that account must be managed by your institution.
Data retention
Our default data retention period is 12 months. Your assessment appeals and academic misconduct procedures should be taken into account when considering how long you require data to be kept. Should you wish to extend storage beyond the default period, request this via your account manager.
Proctoring and monitoring
Your students should be informed how invigilatorPlus works before their first assessment. They should made aware that they will be monitored by a human invigilator via their webcam, computer audio, desktop screen plus some automatic capture of computer interaction. The invigilator will be able to see the space where they choose to undertake the assessment, which is likely to be their own home. The student will be required to provide proof of their identity and the invigilator will be able to view their personal ID information.

Technology requirements and support
Your student body must be able to meet the minimum requirements for computer devices and applications to successfully use invigilatorPlus.
We provide preparation and support materials that can be supplied to your students prior to assessment day via your institution’s learning management system. Students will be able to access an Exam System Check that will test the compatibility of their computer equipment against the minimum requirements for invigilatorPlus.
You must ensure that the Exam System Check, support materials and technical support information is available to students and advertised so that they have sufficient lead time to prepare.

Equity
If you have not run online assessments before, you may need to confirm that the basic requirements are a reasonable expectation of your student body. It is worth considering procedures to alleviate equity issues for students who may not have access to private space in which to undertake online assessments or may not have a computer device that meets the minimum technical requirements.
Authentication and identity verification
To ensure that the person undertaking an online assessment is the actual student, our invigilators confirm their identity against a valid photo ID.
The types of identification accepted by our invigilators is decided by your institution.
We accept driver’s licences and passports that show the key information in English. IDs can be presented in either hardcopy or digital format.
Your institution may choose to include student cards or other forms of ID as being acceptable for this purpose and should inform your account manager of this.
Exam rules and conduct
You may need to introduce new rules that are specific to online assessment to cover the assessment environment and student behaviours.

Cheating, misconduct and appeals
Your policies and procedures relating to the consequences for cheating and academic misconduct and appeals may need to be examined and revised to cover new circumstances that are specifically related to online assessment.
Practice tests
Practice tests may need to be incorporated into your exam preparation procedures. Practice tests are optional but allow both you and your student body to become accustomed to the routine and requirements of online assessment. This can reduce student anxiety and technical support requests when the final assessment is run.
